Administrator and Cataloguer Trainee, Impressionist & Modern Art Department

In your role as Administrator, Cataloguer Trainee, you will be responsible for all pre-sale, sale and post-sale administrative coordination, will coordinate with Marketing, Operations and Finance departments to ensure flawless sale activity and maintenance of sale related deadlines. Responsible for the management of the department's inventory, consignor relationship, document management and contract maintenance.

Key Tasks and Responsibilities
• Under the guidance of the Specialists you will thoroughly research all property for New York Impressionist and Modern Art sales.
• With the guidance and assistance of Specialists you will research and catalog all property for New York Impressionist and Modern Art sales as well as those consigned through the New York office for sales in Los Angeles and London
• Oversee the administration of the bi-annual New York Impressionist & Modern Art sales
• Coordinate the auctions using the Bonhams sales management system
• Oversee shipping and export paperwork for all incoming works, sold lots and unsold lots
• Oversee all photography, commissions of restoration and reframing
• Coordinate all image rights uses for the marketing campaigns and catalog presentation
• Assist the Head of Sale and Junior Specialist with valuations and client management when required
• Assist in the writing of catalog notes and essays as needed for the sale catalogs
• Arrange for the internal and external photography of consigned lots for the auction catalogs, promotional ads and other marketing initiatives
• Assist the Specialists and Head of Sale with condition reporting all works consigned to the New York sales
• Organize and send condition reports and photographs of consigned lots to prospective bidders on behalf of specialists
• Assist the specialists with management of client and mailing lists in addition to client targeting
• Coordinate all copyright and image sourcing for comparative imagery used in catalog as well as for marketing and promotional materials
• Manage all sale related deadlines under supervision and direction of the Head of Sale
• Responsible for the complete care of consignors including processing of contracts, resolving settlement and logistical/shipping issues, determining property status and answering all consignor inquiries as directed by specialists
• Follow defined Consignor Management work processes; provide consistent services
• Maintain departmental files, consignor documents and sale related archives
• Take the necessary actions to satisfy client concerns in a timely and cost effective manner. Escalate as needed
• Coordinate property transfers both internally and externally, liaising with Bonhams shipping and external shippers
• Facilitate the resolution of inventory issues (including lingering property, missing or damaged property) working externally with clients and internally with property controllers and operations staff.
• Provide pre and post-sale inventory control, including ensuring all property is released in A3
• Receive and manage all incoming consignments ensuring accuracy of property in-house
• Unpack, note defects, store, input and barcode inventory
• Coordinate the movement of inventory to storage locations, photo sets, preview, transport to buyers and return to owners
• Input corrections as needed, enter and update saleroom notices and sure copies are made available during previews
• Enter auction numbers, headings and make corrections to descriptions into internal database
• Answer general inquiries concerning sale and assist in sale viewing
• Assist with post-sale inquiries, sale offers, customer service and problem solving
• Assist only when necessary with the packing of items for special clients as directed by the department
• Support New York auctions by phone bidding
• Assist with the preview setup and take down
• Provide some administrative support to US Director of Impressionist and Modern Art, including expense reports

In addition to the tasks and responsibilities listed, you may be required to perform other duties as assigned by your Manager.

Required Skills
• Bachelor's Degree in Art History & 1+ years' experience in an Auction House environment preferable
• Solid Administrative background in similar setting
• Ability to work under pressure and with multiple deadlines
• Exceptional organizational and communication skills (written & verbal)
• Excellent problem resolution skills and customer service skills
• PC proficiency with Microsoft Office applications including Word, Excel and Outlook
• Ability to lift 30-40 lbs
